We Translate On Time, Lda. respects your privacy and is committed to protecting the personal data of our clients, partners, and visitors to our website www.wetranslateontime.com. This Policy explains how we collect, use, store, and protect your personal information, in accordance with Regulation (EU) 2016/679 (GDPR) and Law No. 58/2019 of 8 August.

2Personal data collected

  • Contact data: name, email, phone, shipping address, company or institution;
  • Billing data: tax number and billing address;
  • Payment data: processed securely by Stripe. We do not retain or have access to full card details.
  • Documents submitted for translation (which may contain personal data);
  • Website browsing data: IP address, cookies, language preferences, time zone, browsing information.
  • Customer service data: emails, chat transcripts, notes and communications that accompany your request.

3Purposes of processing

  • Provision of translation, certification and document legalization services;
  • Administrative and financial management of clients;
  • Sending quotes, responding to contact requests and customer support;
  • Compliance with legal and tax obligations;
  • Direct marketing management, where you have given consent (e.g., newsletters, promotional campaigns);
  • Improving website browsing experience and anonymous statistical usage analysis.

4Legal basis for processing

  • Performance of a contract or pre-contractual steps (Article 6(1)(b) GDPR);
  • Compliance with a legal obligation (Article 6(1)(c) GDPR);
  • Legitimate interests of the company (Article 6(1)(f) GDPR);
  • Data subject consent (Article 6(1)(a) GDPR), where applicable, notably for marketing communications.

5Data retention

Unless required by law, data are retained only for as long as necessary for the purposes for which they were collected, namely:

  • Documents submitted for translation where the service is not awarded: until the end of the current calendar year in digital form;
  • Certified translations where the physical original is not delivered to the client: up to 20 years, pursuant to Articles 7(2)(e) and 8(a) of Regulation No. 328/2017 of the Portuguese Chamber of Solicitors and Enforcement Agents;
  • Non-certified and certified translations where the original is delivered to the client: up to 5 years in digital form;
  • Contact and billing data: up to 10 years, under Article 19(1) of Decree-Law No. 28/2019 of 15 February;
  • Browsing data and cookies: as defined in the cookies policy or until consent is withdrawn.

6Sharing and subcontracting

We Translate On Time, Lda. does not sell or transfer personal data to third parties. However, data may be shared with:

  • External service providers (e.g., translators, accountant, IT and payment providers) acting on behalf of the company and only under terms ensuring GDPR compliance;
  • Public or judicial authorities where legally required.

All processors are bound by confidentiality and security obligations equivalent to those of We Translate On Time, Lda.

7International data transfers

Data are processed and stored on servers located in the European Economic Area (EEA) or in jurisdictions for which the European Commission has issued an Adequacy Decision under Articles 44 to 49 GDPR.

8Data subject rights

Under applicable law, you have the following rights:

  • Access your personal data;
  • Request rectification or erasure;
  • Request restriction of or object to processing;
  • Withdraw consent (where applicable);
  • Request data portability;
  • Lodge a complaint with the Portuguese Data Protection Authority (www.cnpd.pt) if you believe your rights have been violated.
